The Prequalification Platform supports Kenya Red Cross Society in managing the supplier prequalification process, letting suppliers submit information online while procurement teams review, assess and approve applications.

01The Challenge

The Problem Statement

Kenya Red Cross Society works with suppliers who provide goods and services for its humanitarian programmes, and these suppliers have to be prequalified before they join the approved vendor network. Before the Prequalification Platform, the Society managed this process using an external platform that required a fee. This meant the process depended on a third-party system that the Society did not own and had to pay to use. The process also relied on manual submissions and email coordination, which made it hard to track documents and supplier evaluations. With applications and documents moving by email, procurement teams had no single place to see where each application stood or to keep a clear record of how suppliers had been evaluated. The Society needed its own system where suppliers could apply online and where procurement teams could review, assess and approve applications.

02The Solution

The Solution

The Prequalification Platform supports Kenya Red Cross Society in managing the supplier prequalification process. Suppliers submit their information online, while procurement teams review, assess and approve applications. Suppliers reach the platform through the KRCS Supplier Portal. The landing page invites them to become a KRCS supplier by registering, prequalifying and joining the Society’s approved vendor network. It is open to all interested businesses and organisations. Suppliers can apply or sign in from the page, and the portal also has sections for How It Works, Categories and Contact. The page shows when the current opening closes, with the number of days remaining. Behind the portal, procurement teams assign evaluators, capture scores and track progress in one system. This replaces manual submissions and email coordination. The portal also explains the purpose of the process. It states that suppliers provide goods and services that directly support life-saving humanitarian programmes across Kenya. It also states that evaluation is fair and merit-based, with clear criteria, so that every qualified business has an equal opportunity.

03Impact

The Impact

Kenya Red Cross Society now manages supplier prequalification on its own platform, built by its Digital Transformation Department, instead of relying on an external platform that required a fee. The process also became more organised and transparent. Moving from manual submissions and email to one online system reduced paperwork and improved the records of supplier evaluations. Because evaluators, scores and progress are captured in the platform, procurement teams can track documents and evaluations in one place. Suppliers have a clear route to apply through the Supplier Portal, with the evaluation criteria and equal opportunity stated openly.
