Volunteer and Membership Management System

Volunteer and Membership Management System is a digital platform used by Kenya Red Cross Society to manage the end-to-end volunteer and membership lifecycle - registration, opportunities, deployments, learning, reporting and coordination.

01The Challenge

The Problem statement

Volunteers and members are at the heart of how Kenya Red Cross Society serves communities. Yet before VMMS, volunteer records lived across different processes. Tracking participation was difficult, and matching volunteers to the right opportunities was harder still. The need went well beyond a single database. Volunteering at the Society spans many connected activities: The volunteer journey from recruitment, onboarding, training, deployment, effort tracking, recognition to retention and exit. Day-to-day coordination such as events, projects and tasks, along with the reports and dashboards that give teams visibility. Learning experience, courses, assessments and certification. Supporting operations such as stock management and volunteer reimbursements. Membership applications and renewals. All of this had to work across the Society’s multi-company structure and connect with the systems it already uses, including Navision/Microsoft Dynamics Business Central and M-Pesa. What the Society needed was a single platform that brings the whole lifecycle together. With one, branches could identify and deploy volunteers faster, and volunteers could find opportunities more easily.

02The Solution

The Solution

VMMS brings the volunteer and membership lifecycle into one platform. Registration, opportunities, training, deployment, reporting and recognition, which used to sit in different processes, now live in a single system. Volunteers get one portal where they can register as a volunteer, become a member, or do both. From there they can browse opportunities and events, follow their tasks and deployments, and keep track of their hours. For the Society’s teams, the same platform gives branches a clear view of opportunities, deployments and participation. This helps them identify and deploy volunteers faster and match people to the work that suits them. The platform covers the full volunteer journey, from recruitment and onboarding to effort tracking, recognition and exit. It also supports events, projects and tasks, training and certification, stock management, volunteer reimbursements, and membership applications and renewals. It works across the Society’s multi-company structure and connects through API to Navision/Microsoft Dynamics Business Central and M-Pesa.

03Impact

Impact

VMMS has improved field coordination across the Society. Branches can now identify and deploy volunteers faster, because volunteer records, opportunities and deployments are held in one platform instead of across different processes. Volunteers have better access to opportunities. They can find what is available, sign up, and follow their tasks, deployments and hours from a single portal. With participation recorded in one place, the Society is better placed to track who is volunteering and match people to the work that suits them. This was the main difficulty before VMMS. The platform is live and in use in Tanzania and Gambia, showing that the approach works beyond a single country.
